Identity and address of the controller
Truedocs México, S.A.P.I. de C.V. (hereinafter, “Próxima AI” or “Próxima”), with address at Av. Garza Sada 3820, Monterrey, Mexico, is the controller responsible for processing and protecting your personal data in accordance with Mexico’s Federal Law on Protection of Personal Data Held by Private Parties (LFPDPPP) and its Regulations.
Definitions
- Próxima Console: web dashboard at
console.flyproxima.comwhere you create workspaces, operate AI agents, review usage and billing, and manage document processing for your organization. - Truedocs / Truedocs AI: document platform and public API at
api.truedocs.mx, infrastructure operated by the same legal entity (Truedocs México S.A.P.I. de C.V.), not an independent third party.
Personal data we collect
To provide Próxima Console and operate our AI agents, we may collect the following categories of data:
- Account and identity data. Full name, email address, profile image, and account identifier in our identity directory. You may create an account at
/startor join an existing workspace by invitation. - Workspace and team data. Workspace name, roles, invitee emails, and administration activity records.
- Commercial onboarding data. Company name, industry, website, products of interest, use cases, role, team size, estimated volume, and UTM campaign parameters.
- Billing and usage data. Subscription history, Próxima Actions consumption, Stripe identifiers, Mexican tax ID (RFC), and tax details you provide.
- Support data. Content of communications sent to [email protected].
- Processing and interaction data (AI agents). Document metadata, voice recordings when you enable voice agents, transcripts, confidence scores, and storage pointers.
Sensitive data and identity documents
If you or your organization submit documents for processing that contain sensitive personal data (such as official IDs, voter credentials, biological data, or biometric data derived from voice samples), you declare that you have the corresponding authorizations. Próxima AI will process that information under strict encryption and security measures and solely to deliver the contracted service.
Purposes of processing
Primary purposes (necessary for the service)
- Provide, operate, and secure Próxima Console (authentication, access control, and workspace management).
- Process voice commands, document automation, and AI agent workflows.
- Manage billing, invoicing, and payment processing.
- Provide technical support and notify you of relevant operational changes.
- Meet legal, tax, and regulatory obligations.
Secondary purposes (optional)
- Improve algorithms and internal optimization of our AI models.
- System usage analytics and product newsletters or updates.
If you do not want your data processed for secondary purposes, you may object by emailing [email protected]. Refusing secondary purposes will not be grounds to deny the contracted services.
AI model training
Próxima AI does not use personal data, documents, or confidential customer content to train public or third-party AI models without express written authorization. Enterprise customers may contract Zero Data Retention policies under their commercial agreements.
Automated processing and AI agents
Próxima Console may apply automated processing to documents, metadata, and—when you enable voice agents—recordings and transcripts. When we act as controller, we do so to operate the platform you use. When we process third-party data on behalf of your organization, we act as processor under your instructions and applicable agreements.
Processors and international transfers
We share data with processors acting under our instructions. The current list of subprocessors, locations, and data categories is published on the Subprocessor List. Some processors operate outside Mexico; those transfers are made in accordance with Article 37 of the LFPDPPP.
ARCO rights and consent withdrawal
You may exercise your rights of Access, Rectification, Cancellation, and Opposition by sending a request to [email protected] with:
- The data subject’s name and a copy of valid official identification.
- A clear and precise description of the personal data for which you wish to exercise ARCO rights.
- Any information that helps us locate the personal data.
We will respond within 20 (twenty) business days of receipt. If granted, we will implement the request within 15 (fifteen) business days after communicating our response.
Retention and security
We retain data while your account or workspace is active and for any additional period required by law, billing, or dispute resolution. We apply reasonable administrative and technical measures; no system is infallible.

Changes to this notice
We may update this privacy notice. The current version will always be available on this page with the last updated date at the top of the document. Continued use of Próxima after a change means you have taken note of the version in force.
